Bluebeam Tip: Quantity Link: Create live Excel takeoffs and estimates from Revu

Use Quantity Link to connect Revu takeoffs to Excel so estimates update automatically as drawings evolve—ideal for live pricing, production tracking, and quick what‑ifs. Available in Revu Complete (subscription) and legacy eXtreme.

Set up your takeoff for clean links

  • Calibrate once per sheet set and save to a Preset Scale for consistency.
  • Use disciplined Subjects, Labels, and Colors (e.g., “Wall – GWB 1HR”) and save tools in your Tool Chest.
  • Add Custom Columns in the Markups List (e.g., Spec, Assembly, Cost/Unit, Total with a formula = Measurement x Cost/Unit).
  • Organize by Spaces (Level 01, Core, Wing) or Layers to enable targeted filters.

Create the live link in Excel

  • In Excel, open the Bluebeam ribbon > Quantity Link > New.
  • Select your PDF, choose filters (Page Range, Space, Subject, Layer, Color, Label, Author).
  • Pick the value to return: Count, Length, Area, Volume, Perimeter, Wall Area, or Sum of a Custom Column (e.g., Total).
  • Insert into a cell; copy the formula down rows to build schedules and cost summaries.
  • Use Excel formulas for unit conversions, waste factors, tax, and margins.

Best practices that prevent “broken” links

  • Do not flatten markups you want to stay live.
  • Keep workbook and PDFs in stable, shared paths; avoid renaming mid‑project.
  • Slip Sheet drawings to retain page IDs and keep links intact.
  • Name and save your link definitions; refresh after revisions to pull updated totals.
  • Add a Legend on sheets and audit with Markups List Filters to validate counts.

Quick troubleshooting

  • Zeros in cells? Check filters (Subject/Space) and confirm markups are Measurement tools, not plain polylines.
  • After file moves, re-point the PDF path and refresh.
