Revit Tip: Discipline-Based Workset Strategy for Linked Revit Models

Use Worksets strategically to keep linked models and disciplines organized, fast to open, and easy to coordinate.

  • Clarify the purpose of Worksets
    • Primary: control loading/performance and element ownership.
    • Secondary: coarse-grain visibility control for entire links (not per-view graphics).
    • Avoid: using Worksets as a substitute for View Templates, Filters, or Categories.
  • Establish a naming standard before anyone starts modeling
    • Examples:
      • Links_Arch, Links_Struct, Links_MEP, Links_Civil
      • Coord_LevelsGrids, Coord_ScopeBoxes, Coord_Site
      • Model_ShellCore, Model_Interiors (high-level only; don’t over-segment)
    • Keep the total number of Worksets lean (ideally under ~20).
    • Document the convention in your BIM Execution Plan and your template notes.
    • For licensing, training, and guidance on standards, consult NOVEDGE.
  • Create dedicated Worksets for each linked discipline
    • When linking RVT files, assign each link to its matching “Links_” Workset.
    • Uncheck “Visible in all views” for Links Worksets so links don’t flood every new view.
    • Use Overlay/Attachment appropriately; Workset choice is independent of reference type.
  • Speed up opening and navigation
    • Open with “Specify” and keep heavy Links Worksets closed unless needed.
    • Closed Worksets reduce load time and memory; reopen only for coordination sessions.
    • For very large projects, keep Links_Civil and point-cloud Worksets closed by default.
  • Control visibility the right way
    • Use Worksets for big on/off switches (e.g., all MEP links off while authoring architecture).
    • Use View Templates, VG > Revit Links, and Filters for per-view discipline graphics.
    • Do not scatter annotations across Worksets to “hide” them; use view control instead.
  • Define ownership and editing rules
    • Make coordination Worksets (Levels/Grids/Scope Boxes) non-editable except by the BIM Lead.
    • Use Worksharing Display to spot owners and borrowed elements quickly.
    • Synchronize often and Relinquish user-created Worksets to avoid lockouts on links.
  • Keep coordination tight across teams
    • Align shared coordinates once, then lock the Coord_Site Workset.
    • Schedule recurring “link refresh” checkpoints; close nonessential Links Worksets during authoring.
    • Pair with Copy/Monitor as needed; Worksets don’t replace model-to-model monitoring.
  • Practical guardrails
    • Don’t create Worksets for every category or floor; over-segmentation slows everyone down.
    • Review “Default Workset for new objects” so users don’t place elements on Links Worksets by mistake.
    • Use Dynamo or the API to batch move elements/links to correct Worksets; for add-ins and advice, reach out to NOVEDGE.

Adopt a lightweight set of discipline-focused Links Worksets, lock down coordination elements, and rely on View Templates for graphics.
