Revit Tip: Copy/Monitor for Reliable Revit Model Coordination

Copy/Monitor is one of Revit’s most valuable coordination tools for protecting critical datum and host elements as linked disciplines evolve. It helps teams identify changes early, document decisions, and keep architectural, structural, and MEP models aligned without manually checking every grid or level.

Use Copy/Monitor when a linked model contains elements your team must reference or coordinate, such as:

  • Levels
  • Grids
  • Structural columns
  • Walls
  • Floors
  • Structural framing elements

The workflow begins by linking the consultant’s Revit model using the agreed coordination method, ideally with correct shared coordinates already established. Open the Collaborate tab, select Copy/Monitor, and choose Select Link. Revit then places you in a dedicated coordination environment where you can either copy elements into your model, monitor corresponding elements, or do both.

For example, an architectural team may copy and monitor structural grids and levels from the structural model. This creates controlled local copies that can support dimensions, views, and documentation while preserving a relationship to the linked source elements. If the structural engineer moves a grid, adjusts an elevation, or deletes a monitored element, Revit records the discrepancy for review.

Before copying anything, configure Coordination Settings. These settings determine how Revit responds when changes occur in the linked file. Typical decisions include whether a moved level should trigger a warning, whether a changed grid name should be reported, and which discipline has authority over each monitored category.

  • Monitor only what matters. Copying every eligible object adds noise and can create unnecessary coordination messages. Start with levels and grids, then expand only where a real deliverable or workflow requires it.
  • Agree on model ownership. A copied element is not a substitute for a coordination protocol. Establish who owns grids, levels, structural supports, and openings before the project starts.
  • Use consistent names. Level and grid names should be standardized across disciplines. A naming mismatch can generate avoidable review items and confusion on sheets.
  • Review changes on a schedule. Run Coordination Review after reloading links, before issuing drawing packages, and at regular BIM coordination meetings.

When Revit detects a monitored change, go to Collaborate > Coordination Review. Review items are grouped by linked model and category, allowing you to accept a change, reject it, postpone the decision, or modify your local element. Do not automatically accept every item. First determine whether the consultant’s change is intentional, approved, and compatible with your documentation.

A practical example is a structural grid that shifts 150 mm after the architectural model has already been documented. Copy/Monitor will flag the movement. The architectural team can then assess impacts to dimensions, room layouts, curtain walls, columns, and sheet annotations before deciding whether to accept the new grid location. This is far safer than discovering a misalignment during plotting or construction.

Keep Copy/Monitor focused and disciplined. It is a change-management workflow, not a replacement for model reviews, clash detection, or direct communication. Combined with shared coordinates, clean links, and a clear BIM execution plan, it provides a dependable early-warning system for cross-disciplinary changes.
