Bluebeam Tip: Multiple-Certificate Batch Signing with Bluebeam Revu

Need to apply different digital certificates across one set of PDFs? Here’s a fast, reliable workflow using Bluebeam Revu’s Batch Sign & Seal to handle multiple certificates with minimal rework.

  • Prepare your Digital IDs:
    • Go to Preferences > Signatures > Digital IDs and import each required ID (.pfx/.p12) or select from the Windows Certificate Store.
    • Add a Timestamp Server (Preferences > Signatures > Timestamp) for RFC 3161 trusted timestamps.
    • Create appearance templates per certificate under Preferences > Signatures > Appearances (logo, signer info, reason, etc.).
  • Launch Batch Sign & Seal (Revu eXtreme):
    • Batch > Sign & Seal, then Add your PDFs.
    • Sort or filter by filename, folder, or sheet metadata to quickly group files by the certificate they require.
  • Run targeted passes:
    • Select Group A in the file list, choose Digital ID A and Appearance A.
    • Choose signature type: Digital Signature (approval) or Document Certification.
    • Placement: existing signature fields, page position, or defined page ranges.
    • Click Sign and enter the credential once for this pass.
    • Repeat for Group B with Digital ID B (and so on) without rebuilding the batch list.
  • Verify:
    • Open the Signatures panel to confirm validity, timestamp, and certificate chain.
    • If a PDF is already certified, use an approval signature instead of re‑certifying.

Pro tips

  • Use consistent naming (e.g., “-West”, “-EU”) to multi-select groups quickly.
  • For certified documents that still permit downstream markups, select “Form fill-in and digital signatures” as the allowed changes.
  • Set a default Timestamp Server so every pass is LTV-friendly without manual edits.
  • Create distinct signature appearances (color, seal image, label) per certificate to avoid misapplication.
  • Store IDs in the Windows Certificate Store for faster selection and centralized management.
