Bluebeam Tip: Markups List: Create a Live Workflow Dashboard with Status Sets and Custom Columns

Pair Markup Statuses with Custom Columns to turn the Markups List into a live workflow dashboard your whole team can trust.

Set up a clear status workflow:

  • Open the Markups List and select the gear icon > Manage Status.
  • Create a status set (e.g., Review) with states like Open, In Review, Revise & Resubmit, Approved, Rejected.
  • Assign colors to each state and enable Color by Status on the Markups List toolbar for instant visual clarity.
  • Export your status set and share it so every project and reviewer uses the same definitions.

Build custom columns for accountability and rollups:

  • Gear icon > Manage Columns > Add:
    • Choice: Discipline (Arch, Struct, MEP), Owner/Trade, Priority.
    • Date: Due (for commitments).
    • Number: Qty, Unit Cost.
    • Formula: Amount = Qty * Unit Cost.
  • Use locked Choice lists to enforce standards and prevent typos.
  • Show built-in columns like Status, Status Date, and Author for audit trails.

Work faster with the Markups List:

  • Filter by Status and Due to drive coordination meetings and punchlist burn-downs.
  • Sort by Owner/Trade to produce action lists in seconds.
  • Multi-select markups, right-click > Set Status to batch update progress.
  • Right-click columns to total quantities and costs; export Summaries or CSV/Excel for reporting.
  • In Studio Sessions, status changes automatically log user and timestamp for accountability.
  • Save columns and statuses in your profile, then export to share across teams and projects.

Pro tips:

  • Use concise, unambiguous status names—avoid overlaps like “Complete” vs “Approved.”
  • Prefix workflow columns (e.g., WF – Owner, WF – Due) so they stay grouped and easy to scan.
  • Keep status colors consistent across jobs to reduce cognitive load.
