Bluebeam Tip: Markup Properties for Structured Project Data

Store actionable project data directly in your markups to supercharge sorting, filtering, and reporting—without leaving the drawing.

What to capture in the Properties panel:

  • Subject: Use consistent, searchable categories (e.g., RFI, Punch, QA/QC, Coordination).
  • Label: Encode IDs such as CSI code, detail reference, or equipment tag (e.g., “23 05 00 – AHU-03”).
  • Layer: Map markups to disciplines or phases so you can show/hide sets fast.
  • Comments/Notes: Add concise context for downstream reports.
  • Appearance presets: Color, line weight, and fill that visually communicate status or priority.

Quick setup:

  • Select a markup and open the Properties panel.
  • Enter a standardized Subject and Label; assign the markup to a Layer.
  • Tune appearance (color = discipline, hatch = status, line style = intent).
  • Right‑click the tool and set “Make Properties Default,” then add it to the Tool Chest for reuse.

Extend with structured fields:

  • Open the Markups List > Columns > Manage Columns to add Custom Columns (Text, Choice, Date, Number, Checkmark, Formula).
  • Examples: Priority (Choice), Due Date (Date), Owner (Choice), Cost Code (Text), Qty (Number), Est. Cost (Formula).
  • Use Spaces to auto-tag Location; every markup inside a Space inherits its name for effortless filtering.

Reporting and control:

  • Filter by Subject/Label/Owner to drive daily reviews.
  • Export the Markups List to CSV/Excel for dashboards and cost tracking.
  • Save Tool Sets and share with your team to enforce data standards across projects.

Pro tips:

  • Prefix Labels with sheet keys (e.g., “A2.11‑D3‑Door‑Fix”).
  • Color-code by discipline; hatch or opacity by status.
  • Bundle common fields into profile-specific Tool Sets (Design, CA, Punch) for one‑click consistency.
