Bluebeam Tip: Batch Link: Automate Hyperlinks Across Large Drawing Sets

Accelerate navigation across large drawing sets by automating hyperlinks with Batch Link in Bluebeam Revu.

Quick workflow:

  • Prepare sheets
    • Ensure consistent sheet numbers in the title block and in Page Labels. Use AutoMark to generate Page Labels from the title block so Batch Link can match references reliably.
    • Standardize detail/callout notation (e.g., “A101”, “3/A501”, “S2.11”). Consistency maximizes match accuracy.
  • Run Batch Link
    • Go to Batch > Link > New. Add files or entire folders; include subfolders to cover full plan sets.
    • Choose detection mode:
      • Search: target patterns like sheet numbers (e.g., A###, S#.#) or detail references (3/A501).
      • Page Region: draw a region over the title block to harvest Page Labels, then link text that matches them.
    • Set link options: Relative Paths, Open in Current Tab, and Apply to All Instances. Save your Batch Link settings for reuse.
  • Verify and refine
    • Preview matches and exclude false positives (notes, legends).
    • Generate links, then spot-check with Search and the Links panel. Color-code links temporarily for quick QA, then revert.

Pro tips:

  • Before linking, slip sheet updated drawings with Batch Slip Sheet to preserve existing hyperlinks across revisions.
  • Use patterns per discipline (A-, S-, M-, E-) to isolate searches and minimize noise.
  • Export a Links Report to document coverage; rerun Batch Link only on newly added sheets for incremental updates.
  • Store your Batch Link presets in a shared Profile, so the entire team runs identical rules.
  • Back up the set before large link passes; if needed, flatten only finalized links intended for distribution.
