Revit Tip: Group Revit Schedule Items for Clearer Quantity Reporting

Grouping schedule items in Revit transforms long, repetitive lists into clear, decision-ready documentation. It is especially useful for door, window, furniture, equipment, material takeoff, and MEP schedules where many elements share the same type, size, or parameter values.

Instead of displaying every instance as a separate row, configure the schedule to combine matching items and show totals. This creates a concise schedule that is easier to review, coordinate, and issue.

  • Start with the right fields. Add the parameters that should define each group, such as Family and Type, Type Mark, Width, Height, Material, Level, or System Type. Revit can only group rows based on values included in the schedule’s sorting and grouping settings.
  • Open Schedule Properties. In the schedule view, select Properties > Sorting/Grouping. Choose the primary field by which items should be combined. For a door schedule, this might be Type Mark; for furniture, it may be Family and Type.
  • Add secondary sorting levels. Use additional sorting criteria to make the schedule readable. For example, sort doors first by Level, then by Type Mark. This preserves a logical project sequence while still grouping identical items.
  • Turn off “Itemize every instance.” This is the key setting. When Itemize every instance is unchecked, Revit consolidates elements with matching grouped parameter values into a single row. If the option remains selected, every placed instance appears separately—even when the elements are identical.
  • Use Count for quantity reporting. Add the built-in Count field to show how many instances are included in each grouped row. This is essential for procurement, estimating, and quality-control workflows.
  • Calculate totals where appropriate. For material takeoffs and quantity schedules, select numeric fields in the Formatting tab and enable Calculate totals. You can total areas, lengths, volumes, and costs without exporting data to a spreadsheet.

Be deliberate about the fields used for grouping. Two elements that look identical may not combine if one contains a different parameter value. A common example is a door type with inconsistent comments, marks, fire ratings, or manufacturer data. If those fields are used for sorting, Revit treats the items as separate groups.

Before issuing a schedule, review grouped rows for unexpected splits. They often reveal useful model-data issues, including:

  • Duplicate family types with slightly different names
  • Inconsistent type marks or keynotes
  • Missing shared parameter values
  • Instances assigned to the wrong level, phase, or design option
  • Elements that should use a standard type but were manually modified

For clearer printed output, use headers and footers in the Sorting/Grouping tab. Group headers can separate schedule sections by level, category, or system, while blank lines improve readability. Avoid excessive grouping levels, however; too many nested headings can make a schedule harder to scan than an itemized list.

A practical workflow is to maintain two schedules: an itemized coordination schedule for checking individual instances, and a grouped issue schedule for quantities and presentation. Duplicate the schedule, then adjust only the Itemize every instance setting and formatting. This gives the project team both detailed traceability and a clean deliverable.
