Bluebeam Tip: Weekly Bluebeam License and User Access Audit

Keep projects moving by managing Bluebeam licenses and user access with a lightweight, auditable process you can run in minutes each week.

  • Inventory your license model(s): note whether you’re on Bluebeam Subscription (named-user: Basics, Core, Complete) or legacy serial/product key and any concurrent/Open License entitlements. Keep purchase records and keys in a secure vault.
  • Standardize administration in the Bluebeam Subscription Management Portal:
    • Create groups (Estimating, PMs, Field, BIM/VDC) and bulk-assign the right plan to each group.
    • Delegate limited admin rights to regional or discipline leads to speed onboarding without losing oversight.
  • Onboarding in two clicks:
    • Invite users via corporate email domains; apply default group/plan on add.
    • Share a 1-page “first sign-in + device activation” guide to reduce helpdesk tickets.
  • Offboarding without orphaned seats:
    • Unassign departing users immediately to reclaim seats; transfer ownership of Studio Projects/Sessions as part of the HR checklist.
    • For legacy installs, deauthorize devices in-app and release activations in the license portal.
  • Right-size entitlements:
    • Review usage monthly; move infrequent users to a lower plan or a shared concurrent pool (if applicable).
    • Track peak concurrency and add a 10–15% headroom buffer ahead of bid season.
  • Strengthen access hygiene:
    • Adopt SSO with your IdP (e.g., Microsoft Entra ID/Okta) to centralize identity and streamline provisioning.
    • Limit local admin rights on machines to curb unauthorized installs.
  • Document and audit:
    • Export the user/assignment roster monthly and archive it with change notes.
    • Maintain a runbook covering add/remove steps, license contacts, and escalation paths.
