Bluebeam Tip: Standardizing Text Box Markups in Bluebeam Revu

Text Boxes in Bluebeam Revu provide a clean, flexible way to add notes directly to drawings, specifications, and review documents. Unlike simple text annotations, they can be formatted, resized, and positioned precisely to make project communication easy to understand.

To add one, select Tools > Markup > Text Box, or choose the Text Box tool from the Markups toolbar. Click and drag to define the box, then begin typing. This is especially useful for plan-review comments that need more context than a short callout.

  • Keep comments concise: State the issue, required action, and relevant reference clearly. For example: “Confirm required clearance at Door 101 per accessibility details.”
  • Use consistent formatting: Select a standard font, text size, border style, and color for your team. Consistency helps reviewers recognize comments immediately.
  • Use color purposefully: Assign colors by discipline, priority, or review status. For example, red can identify urgent corrections while blue can represent coordination notes.
  • Resize for readability: Drag the control handles to expand the box rather than reducing the font to an unreadable size.
  • Add a fill when needed: A light fill color can help text remain legible over dense drawing backgrounds. Adjust opacity so underlying plan information is still visible.
  • Save a preferred Text Box to the Tool Chest: Right-click a properly formatted Text Box and select Add to Tool Chest. Your team can then reuse the approved style across every sheet.

For formal reviews, use the Subject, Status, and Reply fields in the Markups List to turn each Text Box into a trackable project item. This creates a more accountable workflow than relying on unstructured email comments.

Text Boxes are ideal for general notes; use Callouts when a leader line is needed to identify a precise location.
