Bluebeam Tip: Standardizing Date and Time Stamps for Bluebeam Document Control

Date and time stamps in Bluebeam Revu provide an immediate, traceable record of when a drawing, review set, or submittal was issued, received, or updated. Used consistently, they help teams avoid confusion over document currency and create a clearer audit trail.

To add a stamp, open the Tools menu, choose Stamp, and select a built-in option such as a date stamp or a date-and-time stamp. Click anywhere on the PDF to place it, then use the Properties panel to refine its appearance.

  • Place stamps on a dedicated layer: Create a layer such as Document Control before applying stamps. This allows reviewers to hide, show, or manage issue information without affecting design markups.
  • Use a consistent location: Reserve a predictable area—such as the lower-right corner, cover sheet, or title block vicinity—for issue dates. Consistency makes document status easier to verify at a glance.
  • Set opacity thoughtfully: A partially transparent stamp can communicate status without obscuring drawing information. Avoid placing stamps over dimensions, notes, or revision clouds.
  • Save a preferred style: After formatting a stamp, right-click it and add it to a Tool Chest tool set. Your team can then reuse the same style across documents.
  • Distinguish review stages: Combine timestamps with clear labels such as Received, Reviewed, Issued for Construction, or Superseded. This is especially useful when several document cycles occur on the same day.

For more robust workflows, consider creating a custom dynamic stamp that automatically displays the current date, time, reviewer name, or project information. Dynamic stamps reduce manual entry and help standardize documentation across the organization.

Before distributing a final PDF, confirm that the stamp reflects the correct issue event—not merely the time the file was opened or printed. If the document must remain editable, keep the stamp unflattened; if it is being issued as a controlled record, flattening the stamp can help prevent accidental changes.
