Bluebeam Tip: Searching Scanned PDFs with OCR in Bluebeam Revu

Scanned PDFs often look complete but contain only page images, which means a standard text search may return no results. Before manually reviewing every page, confirm whether the scan has a searchable text layer and use Bluebeam Revu’s search tools to locate the information you need.

Start with a quick search:

• Press Ctrl+F to search the active PDF for a word, drawing number, room name, or note.
• Use Ctrl+Shift+F to open the Search panel when you need to search multiple open documents, a folder, or a selected set of files.
• Enter a distinctive term rather than a broad word. For example, search for a specific equipment tag or specification reference instead of “detail.”

If Revu finds no results in a visibly scanned document, the file may not contain selectable text. Test this by trying to drag across a word with the Text Select tool. If you cannot select individual characters, the document likely needs OCR (Optical Character Recognition) before text searching will work reliably.

For best results, prepare the scan before searching:

• Ensure pages are upright; rotated or skewed pages can reduce recognition quality.
• Use a clean, high-resolution source whenever possible. Faint copies, handwriting, stamps, and low-contrast pages can produce imperfect results.
• After OCR is applied, search again and verify critical hits against the original image.
• Try partial words or alternate terms when searching older drawings, since OCR can occasionally misread characters such as O and 0, or I and 1.

A practical workflow is to OCR archival scans, save the searchable version with a clear filename, and then use Revu’s Search panel to find project information in seconds. This turns historical plan sets, inspection records, and scanned submittals into useful reference documents rather than static images.
