Bluebeam Tip: Search-Driven Redaction Workflow in Bluebeam Revu

Combine Search and Redaction in Bluebeam Revu to quickly and securely remove sensitive data across single files, multiple open PDFs, or entire folders.

• Prepare
  • Work on copies. Redactions are permanent after you apply them.
  • Ensure your Revu plan includes the Redaction tool.
  • Set redaction properties (fill color, border, optional overlay text like “REDACTED”) before marking.
• Text Search → Mark for Redaction
  • Open the Search panel and choose scope: current PDF, all open PDFs, or a folder.
  • Enter terms such as names, project codes, emails, or IDs; enable Whole Word and Case Sensitive to reduce false positives.
  • Review matches, then use Check All (or selectively check) and choose Mark for Redaction.
• VisualSearch for Logos and Seals
  • Switch to VisualSearch to target non-text elements (company logos, professional seals, stamps).
  • Adjust Sensitivity and Rotation tolerance, run the search, review, and Mark for Redaction.
• Review and Apply
  • Preview appearance and placement of all redaction marks; refine as needed.
  • Click Apply Redactions to permanently remove underlying content (do not rely on Flatten for security).
  • Save As a new, finalized copy.
• Verify and Document
  • Run a second text search to confirm nothing remains.
  • If required by policy, generate and file your redaction summary/log for audit trails.
  • Lock the PDF with permissions to prevent edits or copying.
