Bluebeam Tip: Scanning Paper Drawings for Searchable, Scale-Ready PDFs in Bluebeam Revu

Turn paper drawings into usable, searchable project PDFs with Bluebeam Revu from NOVEDGE. A clean scanning workflow helps preserve drawing quality and makes downstream review, markup, and takeoff far more efficient.

  • Prepare the original: Remove staples, flatten folded sheets, and clean dust or marks from the drawing before scanning. Better source documents produce clearer PDFs and more reliable text recognition.
  • Choose an appropriate resolution: Scan typical plan sheets at 300 dpi for a practical balance between legibility and file size. Use 400–600 dpi when small notes, fine linework, or detailed specifications must remain clear.
  • Scan in color when color carries meaning: Existing redlines, discipline colors, stamps, and highlighted revisions may be important during review. If the source is strictly black-and-white, grayscale can help reduce the resulting file size.
  • Create the PDF directly in Revu: Use File > Create > From Scanner, select the scanning device and settings, then preview the output before saving. Give the file a meaningful name that includes the project, sheet type, and date.
  • Run OCR: After scanning, use Revu’s Optical Character Recognition tools to convert visible text into searchable PDF text. OCR makes it easier to locate sheet notes, detail references, room names, and specification keywords using Search.
  • Check scale before measuring: A scanned drawing does not automatically retain a dependable measurement scale. Verify a known dimension with the Measurement tools, then calibrate the page before completing any quantity takeoff.
  • Optimize and organize: Rotate pages correctly, crop excess borders if needed, and use bookmarks or page labels for multi-sheet sets. Consider reducing file size only after confirming that linework and text remain readable.

Finally, retain the original scan as a reference and work from a copy when adding markups. This preserves an unedited record while allowing your team to collaborate confidently in Bluebeam Revu.
