Bluebeam Tip: Replace Text Markup for Fast OCR Corrections with QA Traceability

Correct OCR slip-ups fast with Revu’s Replace Text markup while keeping a clean audit trail for QA.

  1. OCR first, with the right settings: Run OCR with the correct language and clean-up options enabled to reduce errors up front. Better input means fewer fixes later. If you need Bluebeam Revu or upgrades, see NOVEDGE.
  2. Find likely problem areas: Use the Search panel to scan for common misreads (0/O, 1/I/l, rn/m). Jump through results to spot inconsistencies in room tags, notes, and schedules.
  3. Apply Replace Text markup: Go to Tools > Markup > Text > Replace Text. Drag across the incorrect word(s), then type the corrected text in the popup. Revu will strike through the original and display the replacement—clear intent without altering the underlying PDF content.
  4. Standardize the correction tool: With the Replace Text markup selected, open Properties and set color, Subject (e.g., “OCR Fix”), and font. Right‑click > Add to Tool Chest to save a reusable “OCR Replace” tool for consistency across teams. Share the tool set via your profile or a Studio Project. For managed rollouts, talk to NOVEDGE.
  5. Track and report: In the Markups List, add a custom Status (Proposed, Verified, Applied) and a custom column (e.g., “OCR Source”). Filter by Status to drive reviews, then create a Summary (CSV/PDF) for signoff. Summaries provide a clean QC record for submittals.
  6. Finalize correctly: Flattening makes the replacement visible but does not fix the searchable text layer. For true content changes, use Edit Text (Content editing) on OCR’d pages, or re-run OCR after image clean-up. Need guidance on editions and features? Connect with NOVEDGE.
  • Create a “Replace Text – OCR” Tool Set and include it in a shared company profile.
  • Use consistent color rules (e.g., red = proposed, green = verified) for instant clarity.
  • Preprocess scans (deskew, de-speckle) before OCR to minimize manual fixes.
