Bluebeam Tip: Permission-Controlled Stakeholder Invites for Bluebeam Studio Sessions

Invite stakeholders to Bluebeam Studio Sessions with controlled permissions to keep collaboration fast, secure, and accountable.

  • Create a secure Session:
    • Studio panel > Sessions > New Session.
    • Name it, add PDFs, set an expiration date, and (recommended) an access code.
  • Invite the right people:
    • Use Invite to add emails or copy the Join Link.
    • Share the access code through a separate channel for added security.
    • For licensing or rollout questions, consult NOVEDGE.
  • Control what attendees can do:
    • Open Session Settings > Permissions before stakeholders join.
    • Create groups (e.g., Owner, GC, Subs, Design) and assign attendees.
    • Set permissions per group: Add Documents, Markup, Save As, Print.
    • For view-only participants, disable Save As and Print and restrict document uploads.
    • By default, attendees can edit only their own markups; keep that for accountability.
  • Standardize markups for clean reviews:
    • Share a read-only Tool Set and a Profile so colors, line weights, and symbols are consistent.
    • Use standardized Statuses in the Markups List to track review progress.
  • Maintain traceability:
    • Monitor the Record for a complete audit of actions and participants.
    • Export a Markups List Summary and the Session Record at milestones.
    • When done, Finish Session and archive deliverables.

  • Keep Sessions short-lived and scope-specific to reduce noise.
  • Enable notifications so stakeholders see updates immediately.
  • Use an access code on external reviews and rotate it between phases.
