Bluebeam Tip: Markups List as a Live Database

Treat the Markups List like a live database—structure it once, then filter and summarize with confidence.

  • Design your columns for decisions
    • Show essential fields: Page Label, Space, Layer, Subject, Author, Date, Comments, and Status.
    • Create Custom Columns to drive reporting:
      • Choice (e.g., Discipline, Responsibility, Priority)
      • Number (e.g., Unit Cost, Qty)
      • Date (e.g., Due Date)
      • Formula (e.g., Total Cost = Qty × Unit Cost)
    • Use Manage Columns to rearrange for left-to-right readability (context first, then decisions, then costs).
  • Filter with intention
    • Use the funnel icon to filter by Status, Author, Page range, Space, Layer, or any Custom Column.
    • Combine filters to isolate what’s actionable (e.g., Status = Open AND Priority = High AND Due Date ≤ Today).
    • Clear filters before export to avoid accidental omissions.
  • Sort for review flow
    • Sort by Page Label to follow sheet order; re-sort by Status to triage quickly.
    • Keep Subject and Label consistent in your tools to produce clean sorts.
  • Statuses that speak
    • Customize Status sets by discipline; include color cues to highlight urgency.
    • Enable the Status column so date/user stamps build an audit trail automatically.
  • Summaries that stakeholders use
    • PDF Summary: include thumbnails, hyperlinks back to markups, and group by Page, Space, Subject, or Status.
    • CSV Summary: export structured data for Excel; include Custom Columns and numeric totals.
    • XML Export: use for downstream integrations and BI dashboards.
  • Make it stick across projects
    • Save your Markups List layout and custom Statuses in a Profile so the team shares one standard.
