Bluebeam Tip: Encode revision data in page labels for reliable navigation and comparison

Use page labels to encode revision data so your team can navigate, compare, and audit drawing history without renaming files.

  • Why page labels matter
    • They travel with the PDF, powering navigation, hyperlinks, Sets, and reports.
    • They make revision stacks obvious (e.g., A1.1 – Rev 03 – 2025-01-15).
    • They reduce errors in Slip Sheet, Batch Link, and printing workflows.
  • Set up consistent labels (fast)
    1. Open the Thumbnails panel.
    2. Choose Create Page Labels (or AutoMark) and select From Page Region.
    3. Draw a region over the title block’s Sheet Number; add a second region over the Revision field/date.
    4. Build a pattern like: <SheetNumber> – Rev <Rev> – <YYYY-MM-DD>.
    5. Apply to the whole set; verify a few sheets before committing.
  • Workflows powered by labels
    • Slip Sheet: Document > Slip Sheet > Match Pages by Page Label to replace sheets and carry markups, bookmarks, and links reliably.
    • Overlay/Compare: Select pages by label so you always compare like-for-like revisions.
    • Batch Link/Navigation: Links and page lists show the label, improving clarity for reviewers and field teams.
    • Sets: Consistent labels help Sets identify sheet lineage and display the latest rev while preserving history.
    • Markups List: Sort/filter by Page to group comments per labeled revision during audits.
  • Pro tips
    • Include a date or revision code; avoid special characters that confuse search.
    • Use a fixed-width rev number (Rev 01, Rev 02…) to keep sort order clean.
    • When issuing revisions, run Create Page Labels again to update the entire set in seconds.
    • Pair with a Revision custom column in the Markups List for reporting.
