Bluebeam Tip: Bluebeam Revu DMS Integration Best Practices

Today’s tip: integrate Bluebeam Revu with your Document Management System (DMS) to streamline version control, collaboration, and handoffs.

  • Pick the right approach
    • SharePoint/OneDrive: Use Revu’s native SharePoint connector (File > Open > Document Management) for true check-in/check-out and version history.
    • Box/Egnyte/Dropbox/Google Drive: Use the desktop sync client so files live in a local workspace and sync in the background for speed and reliability.
    • Bluebeam Studio Projects: Consider as a secure, built-in DMS when a shared project space with permissions and audit trail is preferred.
  • Set up a clean, consistent structure
    • Adopt a folder convention (e.g., 01_Issued, 02_Working, 03_Archives) and a naming scheme (Project-Sheet-Discipline-Rev).
    • Use Page Labels in Revu to align sheet numbers/titles with your DMS views and searches.
  • Use check-in/check-out discipline
    • Check out before editing; add a version comment describing scope (e.g., “Rev B clouded, details A5/A7 updated”).
    • Check in frequently to avoid conflicts; keep Markups unflattened until approval.
  • Automate links and revisions
    • Run Batch Link with “Use relative paths” so hyperlinks survive moves within the DMS.
    • Leverage Batch Slip Sheet to replace drawings while preserving markups and links.
  • Collaborate without breaking version control
    • Send a checked-in file to a Studio Session for live review; post Session summary back to the DMS as meeting minutes.
    • Use Statuses and Custom Columns so Markups List data becomes structured metadata for downstream reporting.
  • Publish and secure
    • Flatten final markups on “Issued” PDFs and apply a digital signature or approval stamp.
    • Set permissions to prevent edits on archived sets.
  • Performance tips
    • Edit from a local/synced workspace (not over VPN); enable Auto-Recovery; reduce file size before issuance.
