Bluebeam Tip: Batch text replacement in Bluebeam Revu using Search and Redaction Overlay

Need to update a name, spec number, or note across drawings fast? Use Revu’s search-driven replace methods to make precise, auditable text edits—without derailing layout.

  1. Prep the file
    • If text isn’t selectable, run OCR (Document > OCR; available in plans that include OCR) to convert scans to searchable text.
    • Save a copy before batch changes.
  2. Find all occurrences
    • Open the Search panel (Ctrl+Shift+F) > Text.
    • Set options: Case Sensitive, Whole Words Only, Include Markups, and choose scope (Current Document, Open PDFs, or a Folder).
  3. Global “Replace” with Redaction overlay (fast, consistent)
    • Select the Redaction tool, open Properties, set Overlay Text to your replacement string (choose font/size/color).
    • In Search results, Mark All > Redact to mark every match; review, then Apply Redactions to finalize.
    • This permanently removes the old text and places the new text as an overlay—ideal for widespread, identical changes.
  4. Targeted content edits (preserve flow)
    • Use Edit > PDF Content > Edit Text for precise, one-off replacements where layout and font fidelity matter.
    • Jump through Search results and update selectively.
  5. Work across sets
    • Search a folder of PDFs to batch-mark redactions or navigate edits across multiple files.
  6. Verify and finalize
    • Run the same search again to confirm zero remaining hits.
    • Flatten overlays if required by your deliverable standard and archive the pre-change version.

  • Use Visual Search for logos or symbols, then replace with standardized markups or notes.
  • Font not embedded? Revu will substitute—double-check spacing and line breaks.
  • Log intent by adding a Stamp or Comments so your Markups List documents the change.
