Proactively auditing and archiving old AutoCAD projects keeps drawings fast, storage lean, and teams compliant. Here’s a practical, repeatable workflow you can run quarterly or at project closeout.

Why it matters

  • Improves performance: reduces bloated DWGs, regapp clutter, and complex xref chains.
  • Cuts storage costs: removes redundant files and compresses deliverables.
  • Protects knowledge: preserves final states with documentation for future reuse.

Set clear triggers

  • Inactivity threshold: no edits in 90–180 days.
  • Size threshold: project folder exceeds a defined limit (e.g., 10–20 GB).
  • Milestones: issued-for-construction/as-built delivered; contract closeout reached.

Prepare and clean the DWGs

  • Open each active sheet/model and run:
    • AUDIT (Y to fix errors).
    • -PURGE (run multiple times; include Regapps and Zero-length geometry).
    • OVERKILL to consolidate duplicates and collinear segments.
  • Resolve xrefs: reload missing paths, convert absolute to relative, and remove unused attachments.
  • Optional: FLATTEN 3D-heavy 2D deliverables to reduce geometry complexity (verify dimensions after).
  • Normalize linetypes/scales: LTSCALE, MSLTSCALE, PSLTSCALE set per office standards.

Freeze a self-contained archive

  • Use ETRANSMIT to package:
    • Bind dependent xrefs (BIND or INSERT per office standard) for a stand-alone record, or keep ATTACH with included paths if future editing is expected.
    • Include CTB/STB plot styles, fonts/SHX, custom linetypes, images, point clouds, and data links.
    • Create a transmittal report (TXT) as a manifest.
  • Publish PDFs/DWFs of all sheets (PUBLISH) with bookmarks and plot stamps for read-only viewing.
  • Optionally run DWGCONVERT to a long-term DWG version for parity across future toolchains.

Structure the archive

  • Recommended folders:
    • 00_Readme (scope, dates, contacts, software versions).
    • 01_DWG_Source (cleaned, audited DWGs).
    • 02_Deliverables (PDF/DWF, IFC/STEP if applicable).
    • 03_References (xrefs, images, point clouds).
    • 04_Standards (CTB/STB, fonts, linetypes, templates).
  • ZIP the package; store checksums (MD5/SHA256) to verify integrity later.

Retention and access

  • Apply the 3-2-1 rule: 3 copies, 2 media types, 1 offsite/cloud.
  • Lock permissions to read-only; document who can “thaw” archives if edits are needed.
  • Tag archives with metadata (client, job number, discipline, major revision) for quick retrieval.
