Revit Tip: Worksharing and Workset Best Practices for Revit Teams

Worksharing and worksets, used correctly, keep teams fast, models clean, and deliverables predictable.

  • Plan your worksets up front
    • Keep the list short and purposeful (often 6–12 is enough): Core/Shell, Interiors, Site, Facades, Levels & Grids, Linked Models, Entourage, Views/Details (if you use view worksets).
    • Avoid “catch‑all” worksets. Every workset should answer “why it exists” and “who uses it.”
  • Treat Workset1 and Shared Levels & Grids carefully
    • Keep Workset1 empty of model geometry; you can’t delete it, so use it only if your standard explicitly defines its purpose.
    • Use Shared Levels & Grids strictly for datums and scope boxes; don’t park random content there.
  • Element borrowing over workset checkout
    • Prefer element‑based borrowing. Avoid “Make Workset Editable” except for intentional, short, global edits.
    • Use Editing Requests first; it minimizes conflicts and keeps others productive.
  • Open and model with intent
    • Use “Specify” on Open and leave heavy worksets (Site, Entourage, Point Clouds) closed unless needed.
    • Set the correct Active Workset before you start modeling; fixing misassigned elements later is costly.
  • Sync strategy that respects teammates
    • Save Local every 10–15 minutes.
    • Synchronize with Central every 30–60 minutes or at natural task breaks, and always before printing/exporting.
    • Reload Latest before large moves or copy/paste operations to reduce conflicts.
    • On exit: Relinquish all (including view ownership) and compact the central on a cadence agreed by the BIM Lead.
  • Visibility and performance wins
    • Place heavy links on their own worksets so you can toggle them per view or keep them closed on open.
    • Leverage Worksharing Display Modes to visualize ownership, checked‑out elements, and worksets at a glance.
    • Set Worksharing Update Frequency to “On Demand” to reduce network chatter; Reload Latest intentionally.
  • Quality control and recovery
    • Use category schedules with the Workset field to find elements on the wrong workset.
    • Purge Unused cautiously; compact and audit the central on a schedule (e.g., weekly).
    • If someone leaves without relinquishing: have them reopen and relinquish; on cloud projects, admins can force‑relinquish.
  • Team etiquette
    • Announce planned edits to shared datums and major elements.
    • Assign “owners” for levels, grids, and scope boxes; pin once finalized.
    • Document your workset schema in the project README and your template.
