Revit Tip: Model Groups vs Linked Models: Revit Decision Rules

Quick decision rules

  • Small, repetitive layouts with shared annotation and tight hosting inside one project → prefer Model Groups.
  • Large, repeated scopes, multi-team authoring, or reuse across projects → prefer Linked Models.
  • If instances need different design options or phases → Linked Models handle variation better.
  • If you must coordinate room-bounding and visibility independently → a Linked Model provides better control.

Use Model Groups when

  • You’re repeating compact assemblies: bathrooms, furniture layouts, casework bays, unit kitchens.
  • All hosted relationships remain internal to the group (e.g., doors to walls, fixtures to walls/floors).
  • You want to include annotation via Attached Detail Groups that travels with the layout.
  • You need quick type-level edits that propagate to every instance.

Use Linked Models when

  • You have many repeated units (apartments/hotel rooms/cores) and need better performance and separate worksharing.
  • Different instances must display different design options or phases (select per-link option in Revit Links Visibility settings).
  • You plan to reuse the content across multiple projects or delegate authoring to another team/consultant.
  • You need independent visibility, worksets, and unload/reload control for performance.
  • You require room-bounding by instance (set the link to Room Bounding for host room/area calculations).

Performance and stability tips

  • Keep groups small and level-specific; avoid spanning multiple levels or mixing unrelated systems.
  • Minimize constraints inside groups; avoid locking to elements outside the group.
  • Avoid deep nesting and mirrored arrays of groups; both can increase warnings and regeneration time.
  • For links, standardize insertion origins and shared coordinates; use consistent naming and worksets.
  • Tagging and scheduling from links is possible for many categories—verify office standards and “Include elements in linked files” where applicable.

Migration workflow (promote a Group to a Link)

  • Clean the Group (remove unnecessary constraints, purge nested/unused types).
  • Save Group to File, using a sensible origin for placement.
  • Link the saved RVT and place by the same origin; test visibility and room-bounding.
  • Replace remaining group instances methodically; then remove obsolete groups.
  • If you ever must convert a link back to native elements, use Bind Link (expect type/parameter reconciliation and re-QA annotations).

Common pitfalls

  • Editing a large Group in worksharing can lock many elements; consider Links to reduce team conflicts.
  • Wall/ceiling/floor-hosted families cannot host to linked elements; use face-based families for cross-link placement when needed.
  • Do not rely on groups to vary by instance for phase or option differences—use separate types or switch to links.
