Revit Tip: Managing Monitored Element Changes with Revit Coordination Review

Coordination Review is Revit’s structured workflow for resolving monitored-element changes between linked models without losing control of design intent.

When architects, structural engineers, and MEP teams work in separate Revit models, Copy/Monitor creates a relationship between critical elements such as grids, levels, columns, walls, and MEP fixtures. If the source model changes, Revit identifies the difference and places it in a Coordination Review list for evaluation.

Use it as a deliberate coordination checkpoint—not simply as a warning-cleanup tool.

  • Start with dependable links. Before monitoring anything, confirm that the linked model is current, positioned correctly, and using the agreed shared-coordinate strategy. A misplaced link can generate misleading changes and lead to incorrect resolutions.
  • Copy/Monitor only what matters. Monitor elements that affect downstream documentation and layout: levels, grids, structural columns, selected walls, or MEP elements requiring coordinated locations. Avoid monitoring every possible item; excessive monitoring produces noise and makes meaningful changes harder to spot.
  • Open Coordination Review after reloading links. Go to Collaborate > Coordination Review > Coordination Review, select the relevant linked model, and review each listed issue. Typical notices include moved, deleted, changed, or newly created monitored elements.
  • Read the change before choosing an action. A grid moved by 25 mm may be intentional and require your model to follow. A level elevation change, however, can affect floors, ceilings, views, dimensions, sections, and hosted elements throughout the project. Investigate the design reason rather than accepting changes automatically.

For each item, Revit commonly provides several resolution paths:

  • Postpone keeps the issue open for later review. Use this when the responsible consultant must clarify the change.
  • Accept Difference acknowledges the source-model change while retaining the appropriate relationship in your model. Use it when the linked team’s revision is approved.
  • Reject Difference maintains your existing condition when the external revision conflicts with the current coordination decision.
  • Delete Element removes the copied monitored element where it is no longer needed, such as when an upstream grid or level has been intentionally retired.

A strong practice is to review coordination changes in a dedicated coordination view. Apply a view template that clearly displays the linked discipline, key datum elements, and any needed worksets. This gives reviewers the visual context to understand whether a movement is isolated or affects an entire building zone.

Also, communicate decisions outside the dialog. A Coordination Review resolution updates the Revit relationship, but it does not replace a project record. Include important decisions in meeting minutes, issue-tracking platforms, or a coordination log: identify the linked file, element, change, decision, responsible discipline, and date. This is particularly valuable for level and grid revisions that may affect multiple teams.

Before synchronizing, confirm that accepting a monitored change has not disrupted constraints, dimensions, hosted objects, or datum-dependent views. Then synchronize with a concise comment so teammates understand why coordinated elements were updated.

Coordination Review is most effective when used routinely after consultant models are reloaded—not only when a clash or documentation error appears. Combined with clear linking standards, shared coordinates, and disciplined Copy/Monitor selection, it helps teams resolve model changes early and maintain a reliable BIM deliverable.
