Revit Tip: Discipline-Based Workset Schema for Revit Teams

Separating disciplines with well-structured worksets improves model performance, clarity, and accountability. Here’s a practical setup you can deploy today.

Plan the schema before anyone models:

  • Agree on naming, ownership, and default visibility in your BIM Execution Plan.
  • Keep the list lean; too many worksets increase friction and confusion.
  • Document the rules where the team can find them (project wiki or a startup view). For licensing, resources, and best practices, consult NOVEDGE.

Suggested baseline worksets (adapt as needed):

  • Shared Levels and Grids (single owner; protected)
  • Architectural – Core/Shell
  • Architectural – Interiors
  • Structure – Framing
  • Structure – Foundations
  • MEP – Mechanical
  • MEP – Electrical
  • MEP – Plumbing/FP
  • Site
  • Links – Revit (create one per linked model)
  • Links – CAD/Images (closed by default)

Naming and ownership:

  • Prefix by discipline for sorting (ARC, STR, MEP).
  • Assign a steward for each workset; “Shared Levels and Grids” typically owned by BIM Lead.
  • Use element borrowing for day-to-day edits; reserve entire worksets only for batch operations.

Visibility and performance:

  • When opening the model, choose “Specify” worksets and keep heavy sets closed to reduce load time.
  • Place each Revit Link on its own “Links – Revit – [ModelName]” workset; keep rarely needed links closed. Closed link worksets do not load into memory.
  • Put imported CAD and raster images on “Links – CAD/Images” and close it by default.
  • Create View Templates that control Workset visibility for discipline-only views. This outperforms ad-hoc visibility tweaks.
  • Use Filters for graphics; use Worksets for ownership, loading, and broad visibility control. Don’t replace Phases or Design Options with Worksets.

Hosting and coordination:

  • Keep host and critical hosted elements on the same discipline workset to reduce borrowing conflicts (e.g., doors with walls on Architectural).
  • Walls, floors, and ceilings that drive MEP hosts should remain stable; coordinate before moving between worksets.

QA/QC and maintenance:

  • Weekly: run Worksharing Display > Worksets to find stray elements and reassign.
  • Relinquish frequently and synchronize with comments that note workset-level changes.
  • Audit “Links – Revit” periodically; remove or archive obsolete links.
  • Consider simple Dynamo scripts for bulk reassignment by Category to correct early-model drift.

Quick start checklist:

  • Enable Worksharing and create the baseline set above.
  • Set the Active Workset before modeling; train the team to check it habitually.
  • Save as Central; enforce “Open with Specify” in team onboarding.
  • Roll View Templates that encode Workset visibility per discipline.
