Bluebeam Tip: Streamline Bluebeam License and Subscription Management

Make subscription management a non-issue so your teams can focus on delivery.

  • Establish clear roles: Assign at least two Org Admins for redundancy. Use least-privilege for additional admins who only need to invite users or view billing.
  • Standardize identities: Require company email domains for all users. Keep one Bluebeam ID per person across Revu, Studio, and Bluebeam Cloud to prevent seat conflicts.
  • Create user groups: Organize by discipline, region, or project. Groups make bulk assignment, audits, and deprovisioning faster.
  • Automate provisioning: If available, enable SSO and SCIM with your IdP (e.g., Azure AD/Okta) to auto-create, license, and revoke users at offboarding.
  • Track utilization: Review seat usage monthly or quarterly. Export user lists, check last activity, and reclaim licenses from inactive accounts.
  • Right-size licenses: Align seat counts with staffing cycles. Avoid shared accounts; subscriptions are named-user and can be installed on multiple devices per user (do not share credentials).
  • Align renewals: Co-term new seats to your anniversary date for simpler budgeting and a single renewal event.
  • Harden security: Enforce MFA, require strong passwords, and routinely review admin access. Document join/leave workflows to ensure timely seat transfers.
  • Keep records tidy: Maintain a centralized log of purchases, POs, invoices, and approval trails for audits.
  • Train for self-service: Show users how to sign in/out, move devices, and access Studio/Cloud. A 10-minute primer cuts support tickets dramatically.
  • Leverage your reseller: Partner with NOVEDGE for co-terms, seat adds, true-ups, and renewal reminders. Their team can optimize bundles and handle tax/exemption docs.

Quick checklist

  • Two Org Admins assigned and documented
  • SSO/MFA enforced; SCIM enabled where possible
  • Quarterly seat audit and reclaim process
  • Co-termed renewals and budget forecast
