Bluebeam Tip: Reliable XML Markup Import into Bluebeam Revu

Bring external review data into Bluebeam Revu without re-creating markups. Here’s how to reliably import XML markups from other systems and keep your project moving. For licensing or upgrades, see NOVEDGE.

  • Prepare the target PDF: Open the drawing set in Revu and confirm Page Labels match your source set (sheet numbers/names). Consistent labels improve placement accuracy.
  • Check the XML: Ensure it’s valid and UTF‑8 encoded. Include core fields such as Author, Subject, Comments, Status, Date/Time, and a page reference (label or index).
  • Create matching Custom Columns (if needed): In the Markups List, go to Columns > Manage Columns and add any fields used in the XML so Revu can map data on import.
  • Import the XML: Open the Markups List (Alt+L) > gear icon > Import > XML. Select the file and confirm the mapping summary.
  • Validate quickly: Filter by Author or Date to spot-check a few entries. Click items in the Markups List to jump to their locations and verify placement and properties.
  • Save and share: Save the PDF, then generate a PDF Summary if stakeholders need a read-only report. For broader collaboration, upload to a Studio Project or Session.

  • Keep page alignment stable: If sheets were revised, use Slip Sheet before importing XML so coordinates align. Matching Page Labels is critical.
  • Normalize statuses: Align imported Status values with your team’s Status Set for consistent dashboards and summaries.
  • Preserve provenance: Store the original XML alongside the PDF for auditing and change history.
  • Standardize subjects: Use agreed Subject names to enable filtering, legends, and conditional exports.
  • Secure when finalized: Flatten sensitive markups or set permissions prior to external distribution.
