Bluebeam Tip: Link Bluebeam measurements to Excel for refreshable, defensible estimates

Link Bluebeam measurements to Excel to turn takeoffs into fast, defensible estimates.

Prep your measurements in Revu

  • Calibrate each sheet first (Measure panel > Calibrate) and lock the scale in the Calibration panel.
  • Standardize tool properties: set clear Subject names (e.g., Area–Concrete, Length–Coping) and assign Layers by trade.
  • Add Custom Columns in the Markups List (gear icon > Columns):
    • Cost Code (Choice/Text)
    • Unit Cost (Number)
    • Total Cost (Formula = measurement value × Unit Cost; e.g., [Area] * [Unit Cost])
  • Use Spaces to tag locations so Excel can group by areas (lobbies, levels, zones).

Export data cleanly

  • Filter the Markups List to measurements only (Filter > Type/Subject/Layer).
  • Markups List > Summary > CSV Summary (Excel-friendly) or XML Summary (best for pivots). Include Custom Columns and Spaces.
  • Save with a consistent file name in a dedicated “Exports” folder.

Build a refreshable estimator in Excel

  • Data > Get Data > From Text/CSV, load as a Table; set “Refresh on file open.”
  • Create a PivotTable:
    • Rows: Subject, Cost Code, Space
    • Values: Area/Length/Count, Total Cost (Sum)
  • Lock unit prices in Excel if you prefer to set pricing centrally rather than in Revu columns.

Workflow tips

  • Keep Subjects and Layers consistent—Excel grouping depends on them.
  • Re-export the CSV/XML after changes; click Refresh All in Excel to update totals.
  • For live, cell-level links, explore Quantity Link (available in legacy Revu versions). If you need licensing guidance, connect with NOVEDGE.
