Bluebeam Tip: Improve PDF Reviews with Consistent Text Highlights

Text highlights in Bluebeam Revu turn dense specifications, submittals, and reports into clear review documents without obscuring the original content.

To create a highlight, select the Text Markup tool from the Markup toolbar, then click and drag across selectable PDF text. Revu automatically follows the text baseline, creating a cleaner result than using a freehand rectangle.

  • Choose the right markup: In the Text Markup tool options, select Highlight for emphasis, Underline for a subtle note, Strikeout for deletions, or Squiggly to flag questionable content.
  • Use meaningful colors: Establish a simple review convention—yellow for items to verify, green for approved language, and red for conflicts or required revisions. Consistent colors help every stakeholder interpret comments quickly.
  • Add a comment: Select the highlight and enter a note in the Markups List or pop-up. This connects the highlighted wording directly to an action, question, or discipline-specific responsibility.
  • Set properties before repeating: Configure color, opacity, author, subject, and status in the Properties panel. Then right-click the markup and add it to the Tool Chest for repeatable, standardized reviews.
  • Review with the Markups List: Filter by author, color, subject, or status to isolate open items. Export the list when a consultant, contractor, or owner needs a concise review log.

For scanned documents, run OCR first so the text becomes selectable. If you cannot select individual words, the PDF may be image-based or protected; highlighting with a translucent rectangle can serve as a temporary visual alternative.

Before issuing the final PDF, confirm whether highlights should remain editable for collaboration or be flattened for recordkeeping. Editable markups are ideal during active review; flattened markups help preserve the intended appearance in a final deliverable.
