Bluebeam Tip: Export Spaces to Excel for Room-Level Costing

Exporting Spaces data to Excel turns room-by-room takeoffs into clean, cost-ready tables in minutes.

  1. Build accurate Spaces
    • Calibrate the drawing first (Measurements panel > Calibrate) to ensure areas are correct.
    • Create Spaces in the Spaces panel; use polygon boundaries or Dynamic Fill for irregular rooms.
    • Adopt a naming convention like “Level-RoomNumber-RoomName” for reliable sorting in Excel.
  2. Ensure markups are tied to Spaces
    • Enable the Space column (Markups List > Columns > Space). New markups placed inside a Space inherit its name.
    • To catch outliers, filter the Markups List where Space is blank and reassign as needed.
  3. Add costing metadata
    • Create Custom Columns (Markups List > Columns > Manage Columns): Unit, Unit Cost (Number), and Cost (Formula).
    • Example formula: Cost = Area × Unit Cost (or Count × Unit Cost for symbol counts).
    • Save these columns to your Profile for team reuse.
  4. Group and validate
    • Sort or Group by Space in the Markups List to check that totals roll up as expected.
    • Use filters to review a single level or zone before exporting.
  5. Export to Excel-ready CSV
    • Go to Markups List > Summary > CSV Summary.
    • Select “Current Columns,” choose Group By: Space, and include totals per group.
    • Open the CSV in Excel and save as XLSX if desired.
  6. Finalize costing in Excel
    • Build a Pivot Table with Space as Rows and sum Cost to get room-level budgets.
    • Add fields like Level or Discipline for multi-dimensional analysis.
