Bluebeam Tip: Export Bluebeam Revu PDF Form Data to CSV for Spreadsheet Analysis

Exporting PDF form data to spreadsheets is a fast way to consolidate field reports, checklists, and inspections for analysis.

  • Prep your form for clean exports:
    • Use clear, consistent field names (e.g., “Project_ID”, “Inspector”, “Date_YYYYMMDD”, “Qty”).
    • For checkboxes/radio buttons, set the Export Value in Properties (e.g., “Yes/No” or “Pass/Fail”) to control what appears in CSV.
    • Format numeric/date fields so Excel recognizes them correctly; avoid commas in number formats if you’ll sum in Excel.
    • Mark calculated fields as Read Only to prevent accidental overwrite on import.
  • Export data from Revu:
    • Open the filled form, go to Form menu and choose Export Data.
    • Select CSV for spreadsheets (best for Excel/Power Query) or XML/XFDF for system integrations.
    • Save alongside your project files with a clear version/date in the filename.
  • Re-use and consolidate:
    • Import Data to populate a master template for repeat reports across teams.
    • Keep field names identical between versions of a form so existing CSVs map correctly.
    • Combine multiple CSVs in Excel using Power Query (Get & Transform) to build dashboards and pivot tables.
  • Quality and compliance tips:
    • Validate mandatory fields before export; add a visual “Complete” checkbox to your template for quick verification.
    • Use a “Data Dictionary” sheet (field name, description, type) to reduce errors and help downstream users.
    • Redact or exclude PII before sharing CSVs outside your organization.
  • Pro move:
    • Create a profile with the Forms panel docked and a custom toolbar for Import/Export to standardize your team workflow.
