Bluebeam Tip: Configuring Bluebeam Studio Sessions for Efficient Real-Time Reviews

Real-time reviews in Bluebeam Studio Sessions succeed when you set them up with intention. Here’s a fast, field-tested workflow you can put into practice today.

  • Prep the environment
    • Sign in with your Bluebeam ID in the Studio panel (free account).
    • Load your team’s Profile and Tool Sets before inviting others to ensure consistent tools and colors.
    • Turn on Color by Author so each participant’s markups are instantly distinguishable.
  • Create the Session
    • Studio panel > Sessions > New Session.
    • Name it clearly, add PDFs, and set an expiration to align with your review deadline.
    • Permissions: Allow only what’s necessary (Markups, Print, Save As, Add Documents). You can tighten these mid-session if scope drifts.
  • Invite and orient the team
    • Invite via email or share the Session ID/link. Ask attendees to check their display name for clear attribution in the Markups List.
    • Pin a “Read Me” sheet with scope, due dates, and markup standards at page 1.
  • Run the live review
    • Use the Markups List filters and custom Statuses to triage: To Review, Needs Info, Approved.
    • Capture decisions in the built-in Chat; include it in the Session Report for an audit trail.
    • Keep files lean; split by discipline or sheet range to maintain speed.
  • Close out with confidence
    • Generate a Session Report (PDF/CSV) including markups, attendees, and chat.
    • Archive a clean copy to a Studio Project or your DMS; flatten finalized markups before distribution.

Pro tips:

  • Calibrate measurements once per sheet and lock the scale for consistent takeoffs.
  • Freeze “Add Documents” after kickoff to prevent scope creep.
  • Use consistent stamp and color conventions so external stakeholders can follow along at a glance.
