Bluebeam Tip: Configure the Markups List as a Live Change Log

Use the Markups List as your live change log to see what changed, who did it, when, and where—without leaving the drawing.

  • Configure the list for tracking
    • Show essential columns: Status, Subject, Page Label, Space, Layer, Author, Date, Comments, Checked, and Capture.
    • Manage Columns > Custom Columns: add Responsibility (Choice), Due Date (Date), Priority (Choice), Qty (Number), Unit Price (Number), and Cost (Formula = Qty*Unit Price).
    • Use Spaces on your sheets so every markup inherits a location you can sort and filter by.
  • Standardize inputs for consistency
    • Set clear Subjects in your Tool Chest so line items group logically (e.g., RFI, Punch, Electrical, Structural).
    • Define Statuses (Open, In Review, Revised, Closed) and enable color-by-status to visualize progress at a glance.
  • Track changes fast
    • Multi-select related markups and right-click to apply a Status in one action.
    • Filter by Status, Responsibility, or Space to isolate what’s new, what’s due, and what’s done.
    • Use the Checked column during QA/QC to confirm review completion without altering Status history.
  • Report and share
    • Export a Markups Summary to CSV/Excel for schedules and dashboards, or to PDF for client-ready reports.
    • Choose “Current View/Filter” so the report reflects exactly what you’re tracking (e.g., only Open items in Level 2).
    • Include thumbnails and Capture images for context when needed.
  • Scale it across your team
    • Save your column layout, filters, and statuses in a Profile and share it so everyone tracks changes the same way.
    • In Studio Sessions, filter by Author to review each participant’s contributions with timestamps.
