Keep revisions traceable and auditable in Bluebeam Revu with these versioning best practices.
-
Standardize file names
- Adopt a pattern that sorts naturally: Project-Sheet-Discipline-Rev###-YYYYMMDD-Initials.pdf (pad revisions with leading zeros: Rev003).
- Avoid spaces and special characters to prevent DMS sync issues.
-
Set document properties and on-page version stamps
- File > Properties: populate Title, Subject, and Keywords with revision, discipline, and status.
- Use a Stamp with AutoText (Date, Filename, Page Label) to burn the version visibly on each sheet.
-
Leverage Page Labels and AutoMark
- Create Page Labels from the title block (AutoMark) so Sets and navigation reflect sheet number and revision.
-
Manage revisions with Sets (not “combine”)
- Use Sets to aggregate sheets across versions—latest pages float to the top while history stays accessible.
- Enable Revision sorting by Page Label so Rev010 supersedes Rev009 automatically.
-
Slip Sheet to replace pages without losing markups
- Batch > Slip Sheet to swap revised pages, carry forward markups and statuses, and flag insertions/deletions.
-
Validate changes
- Compare Documents for deltas; Overlay Pages for color-coded changes. Save a PDF Summary of differences to the revision folder.
-
Track status in the Markups List
- Create custom columns (Rev, Discipline, Action) and use Status for Approved/Revise/For Record. Export CSV at each issue.
-
Use Studio Projects for audit trails
- Check-in/out with version comments; retain Version History; lock record copies by flattening and digitally signing.
-
Archive cleanly
- Save As for each milestone; generate a transmittal package (cover sheet + PDFs + summaries). Store record copies read-only.
