Bluebeam Tip: Bluebeam Revu Redaction Best Practices

Protect sensitive data in PDFs with Revu’s Redaction tools to ensure confidential text and images are permanently removed before sharing. Availability depends on your Bluebeam plan; verify access or upgrade via NOVEDGE.

  • Prep the file
    • Work on a copy. Redaction is irreversible once applied.
    • If your PDF is scanned/image-based, run OCR first so text becomes selectable; otherwise redaction may miss embedded text (Revu Complete required). Need guidance? Ask NOVEDGE.
  • Mark for redaction
    • Use Tools > Redaction to mark text, regions, or images. Adjust appearance (fill/outline/overlay text like “REDACTED”) in Properties before applying.
    • Use the Search panel to find repeated terms (names, account numbers, emails) and Mark All for Redaction in one pass.
  • Review before applying
    • Open the Markups List and filter by Type = Redaction to audit every pending blackout.
    • Zoom into dense areas (legends, title blocks) to catch small instances you might have missed.
  • Apply redactions
    • Choose Apply All Redactions. Save as a new file to preserve your working copy.
    • Post-apply check: run a text search and attempt copy/paste over redacted areas to confirm content is truly removed.
  • Harden the deliverable
    • Optionally remove document metadata and attachments you don’t intend to share.
    • Flatten any remaining non-redaction markups to prevent edits to visible annotations.

Pro tips:

  • Create a Redaction tool in the Tool Chest with your standard fill/overlay text so the entire team applies consistent visuals.
  • Use distinct colors for “marked” vs. “applied” states to make reviews obvious.
  • In collaborative workflows, place redaction marks during reviews, then apply redactions on the finalized PDF outside a live Session.
