Bluebeam Tip: Audit-Ready Revision Workflows in Bluebeam Revu

Clear revision histories in Bluebeam Revu turn reviews into reliable audit trails that stand up to client, internal, and regulatory scrutiny.

  • Standardize statuses and colors:
    • Open Markups List > Status > Manage Status. Create states like For Review, Revise, Approved, Issued.
    • Assign clear colors to each state and enable color-by-status so markups visually tell the story at a glance.
  • Capture the “Rev” data consistently:
    • Add a custom column in the Markups List (Number or Choice) named Revision. Use A/B/C or 0/1/2 across the team.
    • Group or sort by Revision to generate instant, per-rev summaries.
  • Use purpose-built tools for revision callouts:
    • Create a Sequence tool (Tool Chest) for revision clouds labeled Rev-1, Rev-2, etc., and lock in font, color, and subject.
    • Save to a shared Tool Set so everyone marks up identically.
  • Preserve context:
    • Use Reply to thread discussions on a single markup and Capture to attach photos or snapshots.
    • Add hyperlinks in the Properties panel to RFIs, specs, or details. Keep your source docs on a shared path or DMS.
  • Run compare workflows, then document the delta:
    • Use Compare Documents or Overlay Pages to spot changes fast; convert findings into standardized markups.
  • Slip Sheet without losing history:
    • Batch Slip Sheet to replace sheets, match by page labels, and carry markups forward—statuses and metadata intact.
  • Export audit-ready reports:
    • From Markups List, generate PDF or CSV summaries with thumbnails, filters, and grouping by Page then Revision.
    • Flatten only at milestones to lock approved revisions; keep live markups during active review.
