AutoCAD Tip: AutoCAD Subscription Management Best Practices

Manage your AutoCAD subscriptions in Autodesk Account with intent—done right, it cuts costs, reduces downtime, and keeps teams audit-ready.

  • Start in the right place: Sign in at manage.autodesk.com and open User Management. Use Teams to separate departments, contractors, or regions for clearer ownership and reporting.
  • Assign roles precisely: Keep one Primary Admin, add only the needed Secondary Admins. Limit elevated privileges to those who truly manage seats or billing. This curbs accidental changes and improves accountability.
  • Seat assignment workflow:
    • Choose “By product” when you want product-level control; “By user” for smaller teams.
    • Use user Groups to bulk-assign AutoCAD and related add-ons consistently.
    • For contractors, create a dedicated Team and time-box assignments; remove access at project close.
  • Right-size your licenses: Review usage monthly. Reclaim seats from inactive users (no recent sign-ins or launches) and reassign before buying more. For flexible staffing, consider Autodesk Flex tokens alongside subscriptions; monitor token burn rates in Reports.
  • Renewals and co-terming: Align renewal dates to one window to simplify budgeting. If you purchase through a trusted reseller like NOVEDGE, request co-terming and guidance on right-sizing ahead of renewal. Keep Auto-Renew on but set a calendar reminder 30 days prior to review needs.
  • Version control and deployment:
    • Leverage previous version access to match client standards while standardizing internally (e.g., current minus one).
    • Use Autodesk Access to pin approved versions and delay major updates during deadlines.
  • Onboarding checklist:
    • Invite with corporate email, assign AutoCAD, verify region, and confirm sign-in before day one.
    • Provide page setups, CTB/STB, and template DWTs via a shared location or deployment script.
    • Document license terms (single-user sign-in, device limits, offline use interval) in your IT handbook.
  • Offboarding checklist:
    • Remove product assignments, disable the account, and transfer any cloud-based assets.
    • Reallocate the seat immediately; update Groups to prevent auto-reassignment.
  • Security essentials: Enforce 2-step verification, prefer SSO for domain users, and avoid personal emails. Periodically export your user list and compare against HR records.
  • Reporting and audits: Use Reports to spot unused seats, version drift, and token spikes. Export CSVs quarterly for compliance logs.
  • Troubleshooting fast fixes: If a user can’t activate, confirm assignment, have them “Sign out of all” devices in their profile, then relaunch. Move products between Teams if they’re assigned to the wrong org unit.
