Annotative text is one of the most reliable ways to keep notes readable across multiple viewport scales without maintaining duplicate text objects. Instead of manually creating separate text for 1:50, 1:100, and detail-sheet viewports, configure text to be annotative and let AutoCAD display the correct representation automatically.

The key concept is simple: an annotative text object has a paper-space height, while AutoCAD calculates its model-space size according to the assigned annotation scale. A 2.5 mm note remains 2.5 mm high when plotted, whether it appears through a 1:20 detail viewport or a 1:100 plan viewport.

  • Create an annotative text style. Run STYLE, create or edit a text style, and enable Annotative. Keep the text height set to 0 if users need to specify heights while creating individual notes.
  • Set the intended annotation scale first. Use the Annotation Scale control on the AutoCAD status bar before starting MTEXT or TEXT. This avoids adding scales unnecessarily later.
  • Use plotted text heights. Common standards include 2.5 mm for general notes, 3.5 mm for emphasized notes, and 5 mm or larger for headings. Enter the required paper height; do not try to calculate oversized model-space text manually.
  • Assign additional scales only when required. Select annotative text and use the OBJECTSCALE command to add the scales needed for other viewports. This is cleaner than copying and rescaling text objects.
  • Control visibility while editing. Set ANNOALLVISIBLE to 1 to see all annotative representations temporarily. Set it back to 0 for a more accurate view of what displays at the current scale.

A practical workflow begins with a properly configured drawing template. Establish your approved annotation scales, create annotative text styles, and define consistent fonts, widths, and plotted heights. This makes every new drawing more predictable and reduces cleanup before plotting. When placing text in model space, always confirm the viewport scale where the note must appear. For example, a room label intended for a 1:100 floor plan should be created with the 1:100 annotation scale active. If the same room label must also be visible in a 1:50 enlarged plan, add 1:50 to that text object using OBJECTSCALE. AutoCAD then stores both scale representations in one intelligent object.

Be careful not to confuse an object’s annotation scale with viewport scale. The viewport scale determines how model geometry is viewed on the sheet. The annotative object scale determines whether that text, dimension, hatch, block, or multileader appears in that viewport. Both must correspond for the annotation to display as expected.

  • Use annotative text for notes, labels, room names, keynotes, and callouts that appear at multiple scales.
  • Use a non-annotative style for content intended to exist at one fixed model-space size, such as fabrication markings or full-scale engraved text.
  • Keep annotation on dedicated layers so visibility and plotting can be controlled independently.
  • Check layouts before publishing: activate each viewport and confirm that only the intended annotation is visible.

Annotative text eliminates much of the scale-related guesswork that causes inconsistent sheets. Once incorporated into a disciplined template, it helps produce clearer documents, faster revisions, and a more consistent graphic standard from the first layout to the final PDF.
